Note: All prices exclude GST. Our pricing and offerings are reviewed annually, with any changes taking effect from the following month.

1. Project Scope & Quotes

All clients are required to read our terms in full and agree before commencing any work.

  • Accuracy: Quotes are based on details discussed during our discovery meetings. Please notify us of any discrepancies so we can update the quote.
  • Validity: Quotes are valid for 30 days. If the project does not commence within this period, KC Web Design may issue a new quote.
  • Scope Creep: After quote approval, any changes or additions beyond the original proposal may result in additional costs.
  • Timelines: We follow the agreed-upon timeline. However, delays outside our control (e.g., waiting for content or feedback) may result in a timeline shift and potentially a revised quote.

2. Website Process & Payment Milestones

We break our projects into four clear stages. A 25% payment is required at the commencement of each stage:

  • Stage 1: Discovery & Strategy Gathering goals, ideas, and vision.Payment: 25% Deposit required to kick off.
  • Stage 2: Content & Copy Drafting, reviewing, and approving website text.Payment: 25% Progress Payment.
  • Stage 3: Design & Development Review A first look at the design and functionality.Payment: 25% Progress Payment.
  • Stage 4: Launch & Final Adjustments Final tweaks, polishing, and going live.Payment: 25% Final Balance (must be paid before the site goes live).

3. Website Content & Copyright

KC Web Design requires all final, client-approved content before starting the design and development process.

  • Content Needed: Logos (branding), website copy, high-resolution images, videos, and SEO metadata.
  • Standard Definitions: A “Standard Page” includes up to 400 words and 5 images. Gallery pages include 10–15 images.
  • What’s Not Included: Unless specifically quoted, our packages do not include copywriting, SEO research/optimization, or video production.
  • Copyright: It is the client’s responsibility to ensure they have the legal right to use all images, music, and videos provided. We strongly recommend using royalty-free media.

4. Ownership & Licensing

  • Ownership: Once final payment is made, the website structure, design, and content become the property of the client.
  • Royalty-Free Images: Ownership of stock images remains with the original photographer/library; the client holds the usage license.
  • Premium Tools: Our management subscription includes licenses for premium plugins and themes. If you move your hosting away from KC Web Design, you must purchase your own licenses to ensure continued functionality.

5. Website Hosting & Maintenance

We offer flexible, month-to-month hosting and maintenance. There are no long-term contracts.

  • Included Services: Hosting (via Linode Australia), SSL Certificate, software updates (WordPress, themes, plugins), nightly backups (30-day retention), and security monitoring.
  • Exclusions: We do not provide IT support for email setup on personal devices, computer hardware issues, or third-party platforms like PayPal or Mailchimp.
  • Backups & Bugs: We perform nightly backups. If a site “breaks” due to a software update, we will troubleshoot this using your allocated support hours.

6. Phone & Email Support

  • Tracking: Support is tracked in 5-minute increments.
  • Allocated Hours: Hours reset annually on January 1st. Overages are billed at our current hourly rate.
  • Availability: Monday to Friday, 9 am – 5 pm (excluding public holidays and the Christmas closure).
  • Response Time: Typically 24 to 48 hours during busy periods.

7. Technical Standards

  • Browser Testing: We test on the latest versions of Safari, Chrome, Edge, and Firefox. We do not support outdated or discontinued browsers.
  • Mobile Devices: We optimize for modern iOS and Android browsers. Testing for niche browsers (e.g., Opera Mobile) is not included unless quoted.
  • Third-Party Tools: We utilize platforms like WordPress, WooCommerce, and Stripe. KC Web Design is not liable for disruptions or data loss caused by updates or changes made by these third-party providers.

8. Cancellation & Suspension

  • Notice Period: We require 30 days’ notice in writing to cancel hosting or a project.
  • Project Cancellation: Payments for completed stages are non-refundable. Any work completed up to the cancellation point will be handed over to the client.
  • Migration Fee: If you wish for us to migrate your site to an external host, a migration fee applies.
  • Failure to Pay: * 30 Days Overdue: Website and email services will be suspended.
    • 60 Days Overdue: Website and data will be terminated from our servers.

9. Liability & Handover

  • Post-Handover: Once the site is handed over, KC Web Design is not responsible for damage caused by client edits or third-party interventions.
  • Access: Clients are granted Editor-level access. Administrator or FTP/cPanel access is withheld for security reasons unless requested in writing, at which point KC Web Design’s liability for site integrity ends.
  • Footer Link: All sites include a small “Site by KC Web Design” link in the footer.
